Mindbody + Nexus Fitness App Transition

Starting February 1, 2021, we will use Mindbody through the Nexus Fitness app to book classes at Nexus. 

Our goal is to make this transition as seamless as possible. Thank you in advance for your patience as we all work through this new system together. Booking through Mindbody will not be done through the Mindbody app but the new Nexus Fitness app! Please read below for all the new terms and step-by-step instructions on how to get started!

How do I sign up for Mindbody and schedule classes in the Nexus Fitness app? 

Signing up using the Nexus Fitness app:

  1. Download the Nexus Fitness Mobile app.
  2. Navigate to “profile” located at the bottom.
  3. Tap “sign in.”
  4. Click “forgot password.”
  5. Enter your email associated to Zen Planner. 
  6. Check your email and follow the instructions.
  7. Log in.
  8. Click “wallet” in the app. Check the credit card that is on file. Please make sure this is the card you wish to use. If it is not, please update your credit card information. 
  9. Navigate to “book” and start reserving your classes!*

After you complete these steps, if it says you have no current membership, please close the app and reopen it.

How to access Mindbody on desktop:

  1. Click here to begin.
  2. Under the “sign in” box, please select “need new password.” 
    1. Enter your email address. 
    2. Be sure to use the current email associated with Zen Planner.
  3. Check your email and follow the instructions. 
  4. Log in.
  5. Under billing information on the profile page, please check the credit card that is on file. Please make sure this is the card you wish to use. If it is not, please update your credit card information. 
  6. Click the “schedule all classes” to start reserving your classes.

The calendar will still open on the first of each month for members to book one month in advance.

Please continue to book classes for the remainder of January in Zen Planner. We cannot fulfill reservations in the Nexus Fitness app prior to February 1. You can, however, continue to reserve in Zen Planner for the month of February. Classes at capacity through February will transfer from Zen Planner to the Nexus Fitness app. 

What are new terms associated with the Nexus Fitness app? 

There are new words associated with the Nexus Fitness app. In Zen Planner, everyone was called “members.” In our new app, we will now refer to members as “clients” and your membership as “pass.” 

What is the new cancellation policy? 

The biggest change in the Nexus Fitness app transition will be our cancellation policy. For our 5:00 a.m. classes, there will still be a nine-hour late cancellation window. If members in the 5:00 a.m. class do not cancel their reservation before 8:00 p.m. the night before, an $8 no-show fee will apply. 

All other class times will move to a two-hour cancellation. For example, if a member signs up for the 4:00 p.m. class and cancels by 1:00 p.m. the same day, the member will avoid the charge. Alternatively, if that same member cancels at or after 2:00 p.m. on the same day, the $8 late fee will apply. The $8 no-show fee will carry through into the new system for all classes. Canceled classes within the appropriate cancellation window will not affect a member’s monthly allotment. 

The Nexus Fitness app also allows for late cancellation. A “late cancellation” is the window before a class that a member can cancel to release their spot in that class. The member will still be charged an $8 no-show fee, but it will allow the next person on the waitlist to move into the class two hours before it begins. A waitlisted member will not automatically advance into the class. Members should check the class list during the cancellation window hours to join the class if a spot becomes available. These changes mean that Haley will no longer carry the Nexus phone with her at all times, nor should members text the Nexus staff phone to be removed from a class. The Nexus phone number will only operate during business hours from 8:00 a.m. until 6:00 p.m. CST. You can now leave a message, and the concierge from the front desk will reply or return your call during those hours.

What about my PRs that are recorded in Zen Planner? 

Since we are transitioning to the Nexus Fitness app, we will now use a free app called Beyond the Whiteboard for new CrossFit PRs, leaderboards and workouts. If you wish to transfer your PRs currently stored in the Zen Planner app, use the steps below. 

  1. Open the Zen Planner app, click on your picture in the top left-hand corner, click workouts and click library. Here you will find any PRs you and/or your coach have entered. 
  2. You can tap a benchmark and choose different challenges. (Example: Benchmark>Endurance>1-mile run>PR)  
  3. Record them into Beyond the Whiteboard. 

The Beyond Whiteboard app will just be used for CrossFit. To connect your account to your Nexus membership and waive the fee, use the code: NEXUS. Click the blue icon that says “gym members” and then type in the code. 

With the switch to the Nexus Fitness app, the attendance logged in Zen Planner will not transfer. Everyone will start at one when you reserve your first class, but if you wish to know your attendance totals, contact Haley this week.
